Meeting Minutes
Minutes
of November 17th 2004, Interim Board of Directors Meeting
The meeting was held on Nov. 17th, 2004 from 5:30 to 8:30 PM at Ottawa-U
in the SITE room 5084, with the following members present:
Bahram Zahir, Mitra Tayareh, Rashid Nikzad, Abdol Nouraeyan, Manoochehr
Monjazeb, Houri Mashayekh, Shahram Zahirazami, Sareh Taebi, Bahram
Zargar, Alireza Gazerani, Behnam Shadravan, Abdolali Hajdaee,
Behrooz Akbari
Excused: Amir Banihashemi
Absents: Samira Saadat, Sara Alavi
Note: All Board Members were present till 7:00 PM when Mr. Nikzad had to
leave. At this time Ms. Taebi got the right to participate in the votes
for the rest of the Board Meeting.
Mr. Monjazeb started with an introduction to Mr. Hajdaee. Then Mr.
Hajdaee gave us a short speech. Mr. Hajdaee has also provided some
comments on the Constitution of CSIEA-Ottawa that will be reviewed by
Bahram and later by other Board members.
 | President's Report: |
Bahram reported on the network gathering of Nov. 9th. It was agreed to
have a network gathering once a month at a specified time and location
on a regular basis. The location was agreed to be in Tim Horton’s at
Baseline and Woodroffe.
 | Financial and Legal: |
 | We will choose a suitable lawyer for CSIEA when we decide it
becomes necessary. |
 | Also Mr. Monjazeb gave details on the account balance and
records. |
 | Mr. Monjazeb’s report for Nova 20th gathering was confirmed by
the Board. |
 | It was suggested to keep the financial records using a software
package, e.g.: Quickbooks. |
Action for Shahram: Find a member who is familiar with an accounting
software package and volunteers to help.
 | Publication Committee: |
 | CSIEA’s official web site is now available at http://www.csiea.org. |
 | Yousof Pakzad and Ali Moazami are the webmasters. |
 | Agreed upon a procedure to post the members ideas and comments
to the website. Members shall send their comments and messages to
Rashid Nikzad and set a priority for their message. Bahram is
substitute for Rashid, so copy Bahram when you send your messages
to Rashid to be posted on the website. Rashid/Bahram has the
authority to edit the messages before posting them on the website,
or block it pending question from the Board. Rashid and Bahram
will also determine if the message has high or low priority and
ask the webmasters to act accordingly. |
 | All six committees’ alias emails (such as secretary@csiea.org)
and phone numbers will be accessible on the main page of the
website. So for each committee, two alias emails will be provided
(the head of the committee has an alias email and also shares the
other email with the executive members of that committee). |
 | Flyer publications will be the responsibility of this committee.
When other committees want to prepare a flyer for an event, they
need to provide all the required information to the Publication
committee to be considered in the flyer. The font, color, and
template for the flyer will be fixed in the flyer template. |

 | Technical and Cultural Committee: |
o Alma was nominated for Logo design initiative. It
was suggested to consider Iran identification in the logo design. Some
proto logos will be reviewed in the next Board meeting from which the
selection will be made
o The next event was set for Feb. 12th. The format
of the event will be finalized by Monday, Nov. 22nd. There will be a
lecture from Dr. Mussivand.
o The Ottawa Mayor will be invited to this event. Mr
Noraeyan will invite him.
o Ms. Mashayekh feels the pressure of considering
all members’ point of interests in organizing the events. She wants
to pursue her own interests in the technical aspect of this committee
rather than the cultural aspect. It was suggested to have two
subcommittees. It was decided to hold this issue until the next Board
meeting. Meanwhile, Bahram will investigate more on this issue.
o CSIEA will be a member of CHOO (Council of
Heritage Of Ottawa).
 | Membership Committee: |
o Some of the membership forms do not have the
required information, e.g., email addresses. Adding email address
through the website will be considered in the website design.
o Shahram has a list of members’ and non-members’
email addresses. It was suggested to send new contacts’ email
addresses to Shahram rather than sending personal emails. In this
case, people will not receive multiple emails for events and also
their contact information will be hidden.
o The preparation of the membership cards is waiting
for logo design. A membership number will be assigned to each
membership card.
o Membership renewal needs some facilitation, like
online subscription. The online subscription will not necessarily
include the membership fee payment.
 | Social Committee: |
o This committee will try to find and match the
potential members who are willing to help the newcomers to Canada.
This technical match may help a newcomer to find a job faster. Also,
this committee will prepare a list of organizations for helping
newcomers.
o A letter will be sent to Toronto Mohandes to keep
them informed of the developments of CSIEA.
o Mr. Noraeyan brought some sponsorship kits from
different organizations such as Ottawa City. These kits and forms need
to be reviewed and filled in with respect to their deadlines to be
able to apply. CSIEA requires official registration to be eligible for
some of these sponsorships. Ms. Taebi will have a look at the forms
and explain to other Board members if we are eligible, and if
affirmative what are the details.
 | Organization Committee: |
o A new committee was added to CSIEA. It is called
the Organization committee. Mr. Gazerani is the head of this
committee. It will be a temporary committee for the next six months
until the next official General Assembly is held and new Board is
